Payments, Cancellations, Access & Lockout
Halo’s Hygienic Housecleaning, LLC is committed to providing reliable, professional commercial cleaning services while maintaining clear communication, efficient scheduling, and fair business practices.
This policy applies to commercial clients, offices, retail locations, property management companies, commercial buildings, construction-related projects, facilities, and other approved commercial cleaning clients.
Commercial Payment & Invoice Policy
Payment immediately upon completion of service is preferred.
We understand that some commercial businesses, property management companies, contractors, and organizations use accounting departments that require invoices to be processed or payments to be mailed.
Invoices are issued electronically through QuickBooks to the client’s designated billing contact unless another billing arrangement has been approved in writing.
Commercial Payment Timeline
- Immediate payment upon completion of service is preferred.
- Commercial clients requiring accounting processing or mailed payments have up to 7 calendar days from the invoice date to mail or initiate payment.
- All commercial invoices must be paid in full within 14 calendar days of the invoice date.
- Any unpaid balance remaining after 14 calendar days is considered past due.
- A $100 Late Payment Fee may be applied to balances remaining unpaid after 14 calendar days.
Clients paying by mail are responsible for sending payment early enough to allow reasonable mailing and processing time.
Accepted Commercial Payment Methods
Halo’s Hygienic Housecleaning, LLC accepts:
- ACH Bank Transfer
- Business Checks
- Cashier’s Checks
- Cash
- Credit or Debit Cards
- Zelle
- Venmo
- Cash App
- Other approved electronic payment methods
Returned Check Policy
Any business check returned for insufficient funds (NSF), stop payment, closed account, unavailable funds, or any other reason is subject to a:
$100 Returned Check Fee
The client is responsible for paying:
The full original invoice balance + the $100 returned check fee + any applicable late-payment fees.
Payment Required After a Returned Check
Once a client’s check has been returned:
- The entire outstanding balance and applicable fees must be paid in cash.
- The client will no longer be permitted to pay Halo’s Hygienic Housecleaning, LLC by personal or business check.
- Check-writing privileges will be permanently discontinued for that client/account.
- Future cleaning services must be paid using cash or another payment method approved by Halo’s Hygienic Housecleaning, LLC.
- Future services may require payment in advance.
- Scheduled or recurring cleaning services may be suspended until the outstanding balance and all applicable fees have been paid in full.
A returned check does not extend the original invoice due date. Applicable late-payment fees may continue to apply until the account is paid in full.
1099 Independent Contractor Services
Halo’s Hygienic Housecleaning, LLC is available to provide commercial cleaning services as a 1099 Independent Contractor when appropriate.
This may include:
- Commercial buildings
- Property management companies
- Contractors and builders
- Real estate-related businesses
- Apartment and unit turnovers
- Offices and professional facilities
- Post-construction cleaning
- After-renovation cleaning
- Builder final cleaning
- One-time commercial projects
- Recurring commercial cleaning contracts
- Emergency and after-hours commercial cleaning
Commercial clients may request appropriate business information needed for accounting and contractor-reporting requirements.
Past-Due Commercial Accounts
Commercial invoices not paid in full within 14 calendar days are considered past due.
Past-due accounts may be subject to the $100 Late Payment Fee and may result in:
- Suspension of scheduled cleaning services
- Cancellation of recurring appointments
- Loss of preferred scheduling
- Prepayment requirements for future services
- Requirement to maintain an approved payment method on file
- Collection efforts as permitted by applicable law
Commercial services may resume after the outstanding balance and applicable fees have been paid in full and scheduling permits.
Commercial Cancellation & Rescheduling Policy
Commercial cleaning appointments are reserved specifically for each client. Once an appointment is scheduled, those hours are unavailable to other residential or commercial clients.
48 Hours or More Notice
Clients may cancel or reschedule with at least 48 hours’ notice without a cancellation fee.
Less Than 48 Hours but More Than 24 Hours
Cancellations or rescheduling requests made with less than 48 hours but more than 24 hours’ notice will be charged a $100 cancellation fee.
24 Hours or Less / Same-Day Cancellation
Cancellations or rescheduling requests made 24 hours or less before the scheduled appointment, including same-day cancellations, will be charged a $200 cancellation fee.

Repeated late cancellations or rescheduling may result in:
- Prepayment requirements
- Loss of preferred scheduling
- Suspension of recurring services
- Termination of the Commercial Cleaning Service Agreement
Emergency Cancellation Exceptions
Halo’s Hygienic Housecleaning, LLC understands that legitimate emergencies and unexpected circumstances can occur.
Cancellation fees may be waived at the company’s discretion for circumstances reasonably outside the client’s control, including:
- Contagious illness or disease outbreaks
- Fire or smoke emergencies
- Flooding or burst pipes
- Sewage backups
- Gas leaks
- Structural emergencies
- Electrical hazards or extended power outages
- Hazardous chemical spills
- Unsafe active construction
- Government-ordered closures or evacuations
- Severe weather preventing safe access
- Medical emergencies
- Death in the immediate family
- Unexpected building closures
- Other legitimate emergency situations
Clients should notify Halo’s Hygienic Housecleaning, LLC as soon as reasonably possible.
Commercial Building Access Policy
Commercial clients are responsible for providing safe, timely, and uninterrupted access to the property and all contracted cleaning areas at the scheduled appointment time.
When applicable, clients are responsible for providing:
- Building keys
- Access cards or security badges
- Gate and door codes
- Lockbox combinations
- Elevator access
- Parking or loading dock access
- Alarm instructions
- Security authorization
- Emergency contact information
- After-hours entry procedures
Clients are responsible for notifying building management, security personnel, reception staff, tenants, employees, or other appropriate personnel that Halo’s Hygienic Housecleaning, LLC is authorized to enter the property.
Commercial Building Lockout Policy
A commercial lockout occurs when Halo’s Hygienic Housecleaning, LLC arrives for a scheduled cleaning appointment but cannot access the building or contracted work areas because required access was not properly provided.
Examples include:
- Locked entrances
- Incorrect or unavailable keys
- Access cards or badges that do not work
- Incorrect gate, door, or lockbox codes
- Security personnel denying access
- Alarm systems preventing entry
- Locked offices, suites, restrooms, or contracted areas
- No authorized representative available
- Building management not being notified
- Elevator, parking, or loading-access restrictions
- Other client-controlled access issues
Commercial Lockout Service Charge — $200
If Halo’s Hygienic Housecleaning, LLC arrives on the scheduled cleaning date and cannot gain access to the property or cannot perform the scheduled cleaning because proper access was not provided, the client will be charged a $200 lockout fee.
The $200 lockout fee applies because the appointment was reserved specifically for that client, and the scheduled time could have been filled by another residential or commercial client.
If only part of the facility is inaccessible, Halo’s Hygienic Housecleaning, LLC will clean all accessible contracted areas whenever reasonably possible. The regular scheduled service price may still apply to work performed.
If a return visit is required because access was unavailable, the return visit will be considered a separate service appointment and billed accordingly.
Waiting Time & Return Visits
Time spent waiting for:
- Keys
- Building management
- Security clearance
- Access codes
- Alarm deactivation
- Elevator access
- Parking or loading access
- An authorized representative
Safe Working Environment
Halo’s Hygienic Housecleaning, LLC reserves the right to postpone, discontinue, or refuse cleaning services whenever conditions present an unreasonable health or safety risk.
Unsafe conditions may include:
- Fire hazards
- Flooding
- Sewage
- Exposed or unsafe electrical wiring
- Structural instability
- Hazardous materials
- Chemical spills
- Unsafe construction conditions
- Aggressive or threatening individuals
- Illegal activity
- Other conditions that could place cleaning personnel at risk
If unsafe conditions prevent cleaning after arrival, the scheduled appointment may remain billable depending on the circumstances.
Client Responsibilities
Commercial clients are responsible for:
- Paying invoices according to the established payment terms
- Providing uninterrupted building access during scheduled cleaning hours
- Ensuring all contracted areas are unlocked and accessible
- Notifying building staff and security of scheduled cleaning appointments
- Maintaining accurate keys, badges, security information, and access codes
- Notifying Halo’s Hygienic Housecleaning, LLC of access changes before the appointment
- Maintaining a reasonably safe working environment
- Providing accurate billing and accounting contact information
- Communicating cancellations or scheduling changes as early as possible
Policy Acknowledgement
By scheduling commercial cleaning services or entering into a Commercial Cleaning Service Agreement with Halo’s Hygienic Housecleaning, LLC, the client acknowledges and agrees to the applicable:
Commercial Payment • Invoice • Late Payment • Returned Check • Cancellation & Rescheduling • Building Access • Lockout • Waiting Time • Safety Policies
Individual commercial contracts or written service agreements may contain additional terms specific to the property or services being provided.
